What we collect
Your account
Your email address and the details needed to sign you in. Passwords are handled by Amazon Cognito; we never see or store yours.
What you capture
Recordings, typed notes and files you add, and what Cordial makes from them: transcripts, cleaned-up text, titles, summaries, the people and places a memo mentions, and the indexes that make search work. Edits you make are kept as versions.
Chats and connected agents
Your chats with Cordial, and the agent connections you set up: their names and what they're allowed to see. Keys are stored only as one-way fingerprints, so we can check a key but never read it back.
Usage
How much each part of Cordial was used and what it cost, per day and per task, so you can see your bill. These records hold counts and costs, not the content of your memos.
Service logs
Records of events and errors that let us keep Cordial running and fix problems. We work to keep the content of your memos out of them.
How we use it
Only to run Cordial for you: to transcribe, write up, file, summarize and index what you capture; to answer your questions and your agents' requests; to show you what you've used; and to keep the service secure and working.
We don't sell your data, use it for advertising, build profiles of you, or use it to train our own AI models.
Who handles it
Cordial runs on a few services that process your content on our behalf, only to do their part of the job:

Amazon doesn't learn from your recordings. Our Amazon Web Services account is opted out of Amazon keeping or using what its AI services process, Amazon Transcribe included, to develop and improve those services. The opt-out is set once for the whole account and covers all of Amazon's AI services.
We're completing a review of the other providers' terms for using and keeping the content they process. The results will be published here, in plain words, before Cordial opens to the public. If we change providers, this list changes first.
Agents you connect receive what their tools return, inside the scope you set. Their own privacy policies cover what they do with it.
Where and how it's kept
- Stored with Amazon Web Services in the United States (Ohio).
- Encrypted in transit and at rest.
- Every record is tied to your account, and no other account can reach it.
- Original files are only handed out through links that expire within minutes, from a separate address that can't read your sign-in.
- Accounts are by invitation, and anything unusual raises an alert.
How long we keep it
- Your content stays until you delete it. Deleting a memo removes it, its files and everything made from it straight away.
- Backups of the database, used only for disaster recovery, roll off within 35 days.
- Service logs are kept for 30 days.
- Your account stays until you ask us to delete it. Then everything in it is deleted, and backups roll off within 35 days.
Your choices
- Get a copy of everything: memos, recordings, files, transcripts, every version, chats and account details. Ask us today; a one-click download is on the way.
- Correct it by editing titles, text and projects in the app.
- Delete any memo in the app, or ask us to delete your whole account.
- Revoke any connected agent, or sign out everywhere, from the Account screen.
Wherever you live, we'll act on a request for a copy or deletion within 7 days.
Cookies
In the app: one essential cookie that keeps you signed in, and a short-lived one while you sign in. Nothing else.
On this site: no cookies, no analytics and no third-party scripts. Even the fonts are served from our own domain.
Children
Cordial isn't meant for children under 16, and we don't knowingly hold their data.
Changes and contact
If this policy changes, we'll update this page, and tell account holders by email before any significant change applies.
